Water treatment service schedule: planning recurring visits
Plan filter changes, salt deliveries, testing visits and reminders for every system you service.
A water treatment company sells and installs softeners, filters, reverse osmosis units and other systems, but much of its ongoing work is recurring: filter and membrane changes, salt deliveries, media replacement and water testing. A service schedule that tracks each customer's equipment and due dates keeps systems working and keeps customers with you. This guide covers how to build and run that schedule.
1. Record each system
For every customer, keep an equipment record.
- System type: softener, carbon filter, iron or sulfur filter, reverse osmosis, UV, or other.
- Brand, model and serial number.
- Install date and who installed it.
- Media and filter types, and the sizes and part numbers used.
- Settings, such as softener hardness and regeneration settings.
- Location and access notes.
- Water source: municipal or private well.
2. Set service intervals from the manufacturer
- Use the manufacturer's recommended intervals for each filter, membrane, lamp and media.
- Adjust based on the customer's water test results and usage, and record the reason for any change.
- Record the next due date for each component, not only one date for the customer.
3. Group the recurring work
- Salt delivery routes: by area and day, with each customer's usual quantity and frequency.
- Filter and membrane changes: schedule components due in the same month together, so one visit covers them.
- Annual service visits: check the system, test the water, and adjust settings.
- UV lamp changes on their own interval.
4. Water testing
- Test at install, and on a schedule that fits the system and water source.
- For private wells, explain to customers which tests your company does and which require a certified laboratory. Refer them to the state or local health department for guidance on well testing.
- Record results in the customer's record, with the date and method.
- Explain results in plain terms and avoid health claims your testing cannot support.
5. Reminders before each due date
- Send a reminder ahead of each due date, with a simple way to book.
- For salt delivery customers, confirm the delivery day and access.
- When customers do not respond, send one more reminder, then mark the item for a phone call.
6. Plan each service visit
- Check the equipment record and parts needed before the visit.
- Load the right filters, membranes, lamps and media.
- Confirm the appointment and access: where the equipment is, and whether someone needs to be home.
7. Technician checklist on site
- Replace components that are due and record part numbers.
- Check for leaks, bypass valve position and drain lines.
- Check softener salt level and look for salt bridging.
- Check settings and adjust if needed.
- Test water and record results if part of the visit.
- Photograph the system and labels.
- Set the next due dates.
8. Repairs and upgrades
- Record problems found on service visits with photos.
- Send a written quote for repairs or system changes.
- Follow up on a set date.
- Schedule approved work with the needed parts.
9. Rental and service agreements
- For rented equipment or service agreements, record the terms, start date and included services.
- Make sure included visits are scheduled.
- Review renewals ahead of their dates.
10. Monthly review
- Visits due versus completed.
- Customers with overdue components.
- Salt deliveries completed.
- Repairs quoted and approved.
11. Installs and new customers
- At install, record the full equipment details and the first water test.
- Set the first service due dates before the installer leaves.
- Explain to the customer what the system needs, such as salt, filter changes and annual service, and how reminders will reach them.
- Ask the customer how they prefer to be contacted.
12. Customers who move
- When a customer sells the home, ask whether the new owner should be contacted about service.
- Update the record, and stop reminders to the previous owner.
